Use the default letterhead on an email merge

Send your mailing inside your building's letterhead without any extra steps. You write the message, and the letterhead wraps around it when you preview and when you send. You need staff access to Email Merge.

A letterhead is the branded frame around your message, such as a logo, colours, and footer. It is separate from a saved message (see Use or edit an email template) and from Design with AI, which only restyles your wording.

Send with the default letterhead

  1. Open Email Merge.
  2. Select the building in the building filter.
  3. Click Compose.
  4. Look under the message box. If you see Use default letterhead template, the building already has a default, and the box is checked.Checked Use default letterhead template box under the message editor — Compose editor with the Use default letterhead template checkbox checked
  5. Write your message in the body. You do not add the letterhead yourself.
  6. Click Preview above the editor.
  7. Click Send or Schedule the usual way.

Result: The preview shows your message inside the letterhead. A message with nothing typed yet shows the empty frame. The email goes out in the same frame, even if you never opened Preview.

Tip: Edit the text, then click Preview again. The new text appears in the same frame.

Send one email without the letterhead

  1. In Compose, clear the Use default letterhead template checkbox under the message box.
  2. Click Preview to confirm the message shows without the frame.
  3. Click Send or Schedule.

Result: This email goes out without the letterhead. The building's saved default is unchanged, and the next new email starts with the box checked again.

Pick a letterhead when the building has none

  1. In Compose, look under the message box. If you see No default letterhead template selected, click it.No default letterhead template selected under the message editor — Compose editor with the no default letterhead line under the message box
  2. In Choose your email design, click a look to preview it. Change the logo or accent colour if you want.
  3. Choose where it applies:
    • Leave Apply this look to buildings checked to save it as the default for the building. If you manage more than one building, pick the buildings that should get it.
    • Clear Apply this look to buildings to use the look on this email only.
  4. Click Use this design.

Result: Compose switches to Preview and shows your message in the letterhead. The box under the message now reads Use default letterhead template and is checked.

Tip: You can open the same picker from Tools, then Apply email template. It checks the letterhead box and does not rewrite your message.

Use the letterhead when composing to All buildings

When you compose to all of your buildings at once, there is no single building to save a default on.

  • If every building uses the same letterhead, Use default letterhead template appears checked.
  • If the buildings use different letterheads, or none, you see No default letterhead template selected. Click it, choose a look, and click Use this design. The look applies to this email only, and no building's saved letterhead changes.

Reopen a draft

  • A draft that was saved with a letterhead opens with your message in the editor and Use default letterhead template checked.
  • A draft that was saved without one opens with the box cleared, even if the building has a default now. Check the box to add the frame.

If the letterhead does not show

  • The box says No default letterhead template selected. The building has no default yet. Follow the steps above to pick one, or ask support about a custom letterhead for your condo.
  • The preview shows no frame. Check that Use default letterhead template is checked.
  • The look is not what you chose. The default is set per building. Change it under Settings, Communication, Email Merge, Email design, or pick a look for this email only as above.
