Print mailing notices as letters
Save one paper notice for a mailing, one letter per unit. You need staff access to Email Merge.
You can choose the file before the email goes out, or create and replace it after the mailing has been sent.
Choose it while composing
- Open Email Merge and start an email.
- In Printed notices, choose one option:
- Don't create a PDF (the default)
- Only residents with no email
- Everyone, including residents with no email
- Send the email.
Result: If you chose a PDF, it is saved when the email is sent. Don't create a PDF saves nothing. You can still create one from the sent mailing.
Create or replace it after send
- Open Email Merge.
- Open the sent mailing.
- Click Print notices.
- Choose who the letters are for:
- Residents with no email — only people in the audience with no email on file
- Everyone — the full audience, including people with no email
- Hasn't opened, or no email — people the email reached who have not opened it, plus people with no email
- Review the letters. Turn on Add a distribution checklist as the first page if you want a cover sheet.
- Click Save notices.
Result: One file is saved for that mailing. Saving again replaces it. Use this after more people have opened the email, so the Hasn't opened, or no email file gets smaller.
Each letter names the residents in that unit, then the same message that was emailed. Units are separated by a page break. Open as PDF opens the browser print dialog, where you can print the stack or save a PDF.
Download a saved file
- Open Email Merge.
- On the mailing subject, click the document icon.
Result: The saved file downloads. The tooltip shows when it was generated and which choice was used. The icon's name is Download printed notices.
Good to know
- Each mailing keeps one file. Save notices again replaces it. You see Printed notices saved. Generating again replaces this file.
- If nobody matches the choice, you'll see a message such as Nobody in this audience is missing an email.
- Generate Hasn't opened, or no email a few days after sending. The file gets shorter as people open the email.
